Your personal data is processed for a required time period depending on the purpose of process or as stated in the regulation within the scope of the following method, grounds, purpose and conditions and all administrative and technical measures are taken by our company to protect them.
“Data Supervisor” of all your private data gathered under the name of our company by all Branches, Business Agencies, Regional Directorates and similar units, call centers and subcarriers, suppliers, business partners and representatives commissioned as consultants, is Yurtiçi Kargo Servisi A.Ş.
Your personal information can be gathered automatically or manually; with verbal, oral or electronic medium, via Our Company’s General Directorate, Regional Directorate units, branches, business agencies and all related units, website, social media accounts, mobile applications, integration systems, call center, service providing parties as subsidiaries or extensions of company operations, contracted providers, business partners, suppliers, substitute carriers and permanent carriers or other similar channels.
In terms of collecting personal data from our customers, there are several regulations including Laws that regulate cargo and postal sector in which our company mainly operates. The regulations related to the processing of personal data of senders, recipients, deliverers and receivers of the mail are available in the Procedures and Principles of Postal Service Related Security Measures accepted with the decision of Road Transport Code numbered 4925, Road Transport Regulation, Postal Services Law numbered 6475 and the Decision numbered 2016/DK-YED/517 with the date 27/12/2016 of Information and Communication Technologies Authority. According to the aforementioned regulation;
a)Minimum necessary information to be taken and recorded to accept a mail from senders are;
• Name and surname if the sender is a real person, Turkish citizen ID number, full address, phone number, the name and surname of the deliverer if the person who submits the mail is not the actual sender, his/her Turkish citizen ID number, full address and phone number,
• Full title if the sender is a legal entity, VKN or MERSIS (Central Registration System) number, full address, phone number as well as the name and surname, ID number, full address and phone number of the person in charge of delivering the mail of the legal entity.
• Name-surname/title and full address info of the recipient.
• Mail content (may not be asked if the package is transported with an invoice or dispatch note under contract)
a)Minimum necessary information to be taken and recorded to deliver a mail is;
• During the delivery of mails to the recipient (real person or legal entity), name-surname, Turkish citizen ID number of the recipient are taken and recorded by the service providers.
(For foreigners; passport number, the number written on a similar document that has international validity or the number of the document given by Turkish authorities and used as ID identification is taken and recorded.)
According to the statement dated 12/06/2017 of Information and Communication Technologies Authority, the nationality, sex, e-mail and occupational information of both the sender and recipient must to be recorded.
In accordance with postal regulations our company has the liability to operate a customer complaint solution mechanism and record complaints. In order to evaluate the demands and complaints submitted via channels such as call center, website, mobile application etc., name-surname, Turkish citizen ID number and contact information is gathered, and to gather evidence for possible conflicts and evaluate service quality, the call is recorded for every time a call is made for the call center.
Name-surname, Turkish citizen ID number/VKN number, contact and account information and delivery information is gathered from the applicant, who apply for a compensation for our services in order to evaluate the appeal and contact with the person in question.
During the collection of cash, credit card/banking information is gathered.
According to the 6th article of Procedures and Principles of Postal Service Related Security Measures, video recording is made in all our centers that accept mails (including all branches and business agencies as well as units that accept mail).
For security reasons, there are video recording devices in our General Directorate building, Regional Directorates, transfer centers and all other subunits. According to Private Security Services Law numbered 5188 and within the framework of preventing crimes, regulative actions could be taken by government authorities to gather video recording.
For security purposes, name-surname, licence plate number of vehicles and Turkish citizen ID number/Passport no/Driver’s licence no., entry and exit hours of visitors are recorded when they visit our Transfer Centers; and name-surname,Turkish citizen ID number/Passport no/Driver’s licence no., company information and entry and exit hours of visitors are recorded when they visit the building of General Directorate.
As part of commercial business relations including product and service purchase, renting, transport/common transport, agency business conducted with third parties; personal data such as name-surname, Turkish citizen ID no., authorized signatures list, contact information and licence number/account number depending on the business made could be gathered from parties/related persons for the purpose of negotiating, writing, signing and justifying the agreement made.
As business relations may differ from person to person, the data mentioned above will not apply to every real person and differ depending on the nature of the business.
Your personal data is processed for the purpose of fulfilling legal liabilities resulted from the regulations, offering cargo and postal services and conducting, operating, implementing, justifying and improving processes related to these services, offering reports to customers, fulfilling the agreement drawn by us and/or you; providing statistics, customer satisfaction and security, developing commercial and business strategies, analyzing provided services, complying with the regulations to prevent the laundry of illicit money and also national and international regulations; complying with information storing, reporting and informing liabilities provided by BTK (Information and Communication Technologies Authority), MASAK (Financial Crime Investigation Board) and other authorities, conducting publicity, marketing and other campaign activities related to our services and products if authorized and developing custom made services and products continuously.
According to KVKK, if one of the conditions listed in the Law is present, it is possible to process quality personal data without your direct consent; a)If requested explicitly by Laws, b)If necessary to protect the person, to protect the life of another person or preserve bodily functions of a person, who is in the position of not being able to declare his/her free will due a physical impossibility or whose will is not legally valid, c)when the processing of personal data of agreement parties is necessary provided that it is directly related to creating or implementing an agreement, d)when it is necessary for the data supervisor to fulfill legal liabilities, e)when the data is made public by the owner himself, f) when processing the data is a must to restore, use or protect a right, g)for the legitimate interest of the data supervisor provided that the rights and freedom of the related person are not harmed.
For international transportation services, necessary security measures are taken in the country in question and foreign data supervisors need to provide a written promise.
In accordance with the purposes stated above, your personal data could be transferred within a legal framework depending on the type of the personal data to be transferred and on the condition that the data given is limited to a purpose, to cargo/postal mail parties and related persons, national and international subsidiaries of our company and their own subsidiaries; consultants, suppliers, subcarriers, business agencies, business managers, execution assistants, banking and financial institutions, whose employees, officers, legal advisors, financial and tax advisors operate as subsidiary or extension of our company and act upon the activities of our company; authorities such as BTK (Information and Communication Technologies Authority), MASAK (Financial Crimes Investigation Board), UBAK (ECMT) and authorized state institutions and organizations such as official security directorates, ministries, judicial authorities, administrative authorities, the persons allowed by regulation provisions and institutions and organizations that you give consent to.
